ReferenceField types

Field types

Thirty-five types, in seven groups. The key column is what scripts, exports and integrations see; the name is what you pick in the builder.

Text and numbers

TypeKeyStores, and what you can set
TexttextOne line. Min and max length, and a pattern the entry must match.
Long TexttextareaSeveral lines. Same limits, plus how many rows to show.
NumbernumberA whole number. Min, max and step.
DecimaldecimalA number with decimal places. Min, max, step and precision.
EmailemailAn address, checked for shape.
Masked InputmaskedText forced into a pattern: phone, postcode, or a custom mask. Can hide the value behind dots with a reveal control.
Unique IDunique_idAn identifier generated for the record: a UUID, a sequence, or a custom format with a prefix. Can be shortened to as few as 5 characters, which collides sooner.
CountercounterA number changed with plus and minus. Min, max and step.
Range / SliderrangeA number chosen on a slider. Min, max, step, whether to show the value.
CalculatedcalculatedA value worked out by a formula. A real input unless read-only.

Dates and times

TypeKeyStores
DatedateA calendar date, YYYY-MM-DD. Earliest and latest allowed.
TimetimeA time of day. Shown as 12- or 24-hour.
Date & TimedatetimeBoth, as ISO 8601. Earliest and latest allowed.

Media

Media is recorded against the record rather than inside the answer. On a phone, files wait on the device until there is signal.

TypeKeyStores, and what you can set
PhotophotoOne or more photos. Max count, quality, whether the gallery is allowed as well as the camera, whether each must carry a timestamp.
VideovideoA recording, with a maximum duration.
AudioaudioA recording, with a maximum duration.
SignaturesignatureDrawn with a finger. Stroke width and colour.
DrawingdrawingA free sketch on a canvas of a set size.
File UploadfileA document. Can accept more than one.

Location and codes

TypeKeyStores, and what you can set
GPS Locationgps_locationLatitude, longitude and accuracy. An accuracy threshold the fix must meet; whether to show a map.
BarcodebarcodeScanned with the camera. Which formats to accept.
QR CodeqrcodeScanned with the camera.

Choices

A choice field either carries its own options or points at a Smart List. Either way the record stores the option’s value; exports and documents show its label.

TypeKeyStores, and what you can set
Yes/Noyes_notrue or false.
Single Choicesingle_choiceOne option, shown as buttons. Can allow an “Other” entry.
Multiple Choicemulti_choiceSeveral options, stored as a list. Min and max selections; can allow “Other”.
DropdowndropdownOne option from a list.
Searchable ChoicelookupOne option from a long list, found by typing. The key is lookup for historical reasons; it does not look records up.
RatingratingA score out of a maximum, shown as stars, hearts or thumbs.

Structure

These hold no answer. They never appear in an export, a document or a webhook, and a script cannot read them.

TypeKeyDoes
SectionsectionGroups the fields inside it under a heading.
Repeatable Sectionrepeatable_sectionA group the person can add rows of. Rows live inside this record, as a list under the section’s key. Min and max rows.
Label / InstructionslabelText shown on the form. Nothing is entered.
DividerdividerA rule across the form.

Records and people

TypeKeyStores, and what you can set
Record Lookuprecord_lookupPick a record from another form and copy chosen fields from it into this one. Copied, not linked. You choose the source form, which column identifies a record, which are searched, which are copied, and optional filters. The source form must allow use as a record source.
SubformsubformRows that are real records on another form, each linked to this one as its parent. Min and max entries.
Send tosend_toHand this record to somebody else to carry on with. Only people who can collect on the form are offered.

Three switches every type has

Required refuses submission without an answer. Read-only shows and stores the value but stops anyone typing over it. Hidden keeps the field out of the form entirely while still carrying its value. Read-only and hidden are different things: one is shown and locked, the other is not shown at all.
