Working offline

The app is built to be used with no signal. Sign in once with a connection and download the forms you need; after that you can collect all day offline. Records and photographs are held on the device and go up the next time it syncs.

What is stored on the phone

  • every form you have downloaded, at the version you downloaded;
  • every record you have started or submitted that has not yet uploaded;
  • photographs and files attached to those records;
  • the lists a form needs — Smart Lists, and the records a Record Lookup picks from.

All of it is removed when you sign out. See Signing out.

Knowing where your work is

A record that has been submitted but not yet uploaded is still only on your phone. The Sync tab lists everything waiting, and each record carries one of these badges:

BadgeMeaning
On this device onlyNobody else can see this yet. It reaches the server the next time this device syncs.
Changes not sentThe record is on the server, but what was changed here has not gone up yet.
SendingOn its way to the server now.
Not sentThis could not be sent. It is still on this device; sync again when you have signal.
Photos still to sendThe record arrived; its files have not. Photographs are large and go up after the record.
DeliveredEverything is on the server.

Syncing

The app syncs on its own whenever it has a connection, at the interval set under Settings. Sync now on the Sync tab forces one. Records go first; photographs and files follow, because they are larger.

If a form has changed since you downloaded it, the new version comes down with the next sync. A record you already started keeps the version it started on.

Signing out

Signing out removes everything stored on the device — forms, records, files — so that the next person to sign in on that phone does not see your organisation’s data.

If anything has not reached the server, signing out deletes it and it cannot be recovered. The app tells you exactly what — “3 records and 7 files” — and offers Go to Sync so you can send it first. Sync before signing out, and before wiping or handing on a phone.
