Find your records

Filling in a form and reading what has been filled in are two different screens, and two different permissions. This trips people up, so here it is plainly.

Records live under Submissions

From the sidebar choose Submissions. It lists every form, how many records each has, how many are waiting for review, and when the last one arrived.

The Submissions page listing six forms, each with a record count, a count awaiting review, and when the last record arrived.
The count in orange is records waiting on a decision. A draft count means somebody has unfinished work on a phone.

Click a form to open its records as a table.

The records table for the Timecards form, one row per record, with the form's fields as columns.
Each field is a column. Search, filter and inline editing are all here — see The records table.

Filling in lives under Forms

To fill in a form on the web, go to Forms and choose Fill in on the form you want. Most collection happens on a phone, but the web renderer is there for office-side entry and for testing a form before you publish it.

Who can see what

  • Somebody with a Collect grant on a form can fill it in, and sees their own records.
  • Somebody with a View grant can read every record on that form — and View never allows filling it in.
  • Managers and admins see everything.

The distinction is deliberate and worth understanding before granting anything: View and Collect.
